Leading UK construction company is making substantial savings on plant hire costs, as well as improving efficiencies, with the help of Plant Manager software from Integrated fm.

Plant Manager provides a seamless, highly visible paper trail for each item of plant, along with tools for dealing with plant substitutions, control of associated safety accessories and recording of plant condition on delivery Despite establishing framework agreements with selected plant suppliers to achieve best value, the contractor found that many sites circumvented these arrangements and continued to hire plant from local suppliers

Other problems included incomplete documentation relating to plant shortages and damaged plant - all issues that are frequently encountered on many sites.

Under the new system, which uses Plant Manager's interoperable technology at its core, each step of the plant hire process is recorded and tracked.

Just as importantly, this information is visible to all parties for monitoring, measurement of key performance indicators (KPIs) and dealing with queries.

The system is highly automated so that the majority of processes take only a few seconds from the request from site to the order to the plant depot.

When each site orders an item of plant, this is verified by the central system and an order is raised against the appropriate cost code in the back office system.

The purchase order is then sent to the plant supplier, with a copy in PDF format being e-mailed to the site.

As each purchase order is processed it is validated by Integrated fm's servers and confirmed with a plant asset number, so the purchase order and the asset number are now linked.

At the same time, availability of plant is checked with the depot and confirmed to the site and Plant Centre.

If the depot offers a substitution for the main plant, this is recorded on the substitution.

Similarly, if substitute safety accessories are offered instead of the pre-agreed items, this has to be approved before it is accepted.

Plant Tracker The Plant Tracker module in Plant Manager is used to record the condition of plant on delivery and to monitor its location through the hire period.

Plant condition is recorded when the plant is delivered to site and faxed to Plant Centre for recording on the system (delivery notes are no longer left on site).

Plant Tracker than maintains a list of all active plant hire orders for each site, with the status of each item.

It also monitors delivery and collection times for comparison against pre-agreed Key Performance Indicators between organisations.

On completion of the hire, the depot is e-mailed to collect the plant, with the date and time of the collection request being recorded.

In addition, Plant Tracker generates a weekly list of all plant on site for checking.

If problems occur, all of the information is easily accessible on the system for checking, so that any issues are resolved much faster than used to be the case.
