Saving costs with PROJECTminder from PH-media
Donaldson Associates, civil, structural, geotechnical and tunnelling engineers reports that implementation of PROJECTminder has after year one, led to a saving of GBP50k.
Donaldson Associates is a 90 strong civil, structural, geotechnical and tunnelling engineers based in Uttoxeter, Glasgow and York.
Challenges.
Operating across multiple offices, Donaldson found that with a manual timesheet system in place it took a long time to collate project information and it was cumbersome to break projects down to the work stage level.
Then, once the information was available, it was in summary form, the reporting was two to three weeks out of date and in one instance the practice was unable to claim £10,000 worth of fees from a client.
Solution.
Being a web based system PROJECTminder would solve the issue of collating timesheets from multiple offices at a stroke.
Pricing and the level of integration were also major factors in their decision - they were looking to combine time costing not only with cost budgets, fee and invoice schedules but eventually with resource plans.
The practice short listed three products - PH-media was chosen because:.
* It could be implemented by the start of their new financial year.
* PH-media adopted a proactive approach providing considerable support during the implementation process that saved them 1 month of time.
* They had confidence that the system would be flexible enough and would evolve to suit their needs.
Results.
The implementation has led to the following major savings:.
* A full time accounts employee dealing with manual timesheets saving £17,000 pa.
* 2 days per month of project manager time collating reports saving £20,000 pa (this is actually additional chargeable time the project managers now have available).
* After year one the total saving made was £50,000.
Overall efficiency has improved and with instant, up to date information available they are now in a position to take action, such as charging for additional duties and variations or reducing the resource allocation to control expenditure.
Donaldson are now looking to use the system to provide management information which will be used in their strategic planning process.
They would have no hesitation recommending TIMEminder to other practices.
