IRCA choose Invu from The Content Group

The International Register of Certified Auditors has gone live with an Enterprise Content Management solution which has been implemented and is managed by The Content Group.

The International Register of Certified Auditors (IRCA) has gone live with an Enterprise Content Management (ECM) solution which has been implemented and is managed by ECM solution provider, The Content Group The solution, which includes document management software Invu, is valued in the region of GBP60,000 and will automate IRCA's existing manual paper-based business processes ensuring accurate and timely information storage and retrieval, and more efficient access to client documentation

As a result, IRCA expects to gain cost benefits that result from a better use of physical office space and an improvement in the overall efficiency of the organisation's client facing business processes.

Headquartered in London, IRCA is the largest international certification body for auditors of management systems and certifies over 13,750 auditors in over 120 countries worldwide.

In addition to its certification services, IRCA also provides approval of training organisations and certification of their auditor training courses, working with over 90 organisations internationally who train over 50,000 students annually.

With a growing number of services, clients and partners, IRCA identified that an improved method of communication was required to enable the sharing of documents and files internationally.

Each client file currently comprises of approximately 50 pages and prior to The Content Group's implementation of Invu, these documents were manually filed and maintained within the organisation's central office.

Operations Manager at IRCA, John Beagan comments, "Historically, files were being sent manually by post or courier to other offices and this was becoming a very expensive, time consuming and unsecure way of doing things within the business".

"We recognised an urgent requirement for something that was going to provide us with the efficiency that the business needed in order to provide a better service".

"We needed to implement a more regulated method that not only kept hard copies safe but also allowed users in other satellite offices to have remote access to internal files".

By implementing Invu, The Content Group is providing IRCA with a central repository for all business content, enabling the organisation to fundamentally have tighter control, improved efficiency and management of information throughout the business, specifically for all client document folders.

As part of the solution, all paperwork and new information coming into the organisation will be digitised and uploaded into the document management system with the existing paper archive also being digitised via The Content Group's document processing centre.

The software purchase also includes the CodeFree module from Invu which enables users to seamlessly integrate other off-the-shelf commercial software and applications without the need to access or change the underlying code.

This will facilitate IRCA to carry out automatic data transfer from the company database into Invu therefore providing seamless and accurate metadata for document storage and retrieval.
