'Workspace' from Union Square Software will centralise company documentation to eliminate the problems associated with lost documents - 15 January 2007: Stuarts Industrial Flooring, UK market leaders in industrial flooring, has placed an order valued in the region of GBP36,000, for 'Workspace' knowledge management software from construction IT specialist, Union Square Software.

This new investment has been made in a bid to control email traffic and improve document management across the company's three offices.

Using Workspace, Stuarts will be able to integrate documents and company information from their three disparate offices into one central web-based portal.

This will significantly reduce paper-based correspondence streamlining the administration processes associated with managing approximately 600-700 contracts a year.

Commenting on the company's current working method, Chris Henderson, Director, Stuarts Industrial Flooring, says, "We came to the decision that we needed to improve the communication and organisation between all our offices".

"Currently, each site works to its own independent system, making it difficult for all the offices to co-ordinate and work coherently with one another".

"Without a centralised system in place, we run the risk of employees duplicating documents or documents being filed away that are not easily accessible by the rest of the business".

The decision to implement Workspace came from referrals from other clients of Union Square.

Although Stuarts had initially investigated other solutions, Union Square's experience within the construction sector was paramount to the final decision.

Workspace has been designed to help construction firms improve management of email and prevent valuable business information disappearing.

The software provides companies with a simple method of filing, archiving and retrieving all emails through a central software portal that can be accessed by any employee within the organisation.

Henderson continues, "We believe that with Workspace in place our staff will be able to input and retrieve data to a much higher level of consistency than they do currently".

"Email is one of our primary sources of communication between our three offices so the ability to store emails within the central portal will be valuable to us".

He concludes, "Our working relationship with Union Square has been both positive and reassuring".

"They have taken the time to understand our specific requirements and develop a system that addresses our business needs - we couldn't ask for better than that.".
