Plumbing and heating company, Parker Bromley, will use Union Square's 'Workspace' software to gain easy access to files and resources

Plumbing and heating company, Parker Bromley , has purchased new knowledge management software from Union Square, as part of an order valued in the region of GBP30k.

Union Square's 'Workspace' software provides the company with a centralised software portal that will help create better efficiency and reduce the volume of paper-based documentation across the business.

Established in 1980, Parker Bromley currently employs around 35 staff within its three departments - Commercial Mechanical, Domestic and Electrical, as well as a number of sub-contractors and supervisors.

With such a large proportion of its staff working off site, the company needed a way to manage its employees effectively whilst ensuring minimal time is spent on administrative procedures.

Workspace was selected to provide remote workers as well as office-based staff with a web-based software portal that stores all business information centrally, from project documents to customer records and guidance procedures.

Daniel Mears, Project Manager at Parker Bromley, comments, "Communication between our staff on and off site is very important to the way our business works".

"It is vital that staff have up-to-date information about projects available at their fingertips in order to avoid mis-communication between staff or duplication of work".

"Using Workspace we have a central portal that provides employees with 'real-time' access to information about staff, projects, and documentation, irrespective of location".

Union Square's Workspace software is designed to deliver a range of benefits associated with capturing, storing and retrieving information through a single system and interface.

Parker Bromley will be utlilising the Workspace system to manage both its corporate and client documentation, e-mailing and searching facilities.

Mears continues, "Prior to Workspace, documents would too easily go missing or be deleted".

"It was difficult to keep an eye on the status of projects, meaning that staff would spend a significant amount of time searching for documents that did not exist and at times this would result in an embarrassing phone call to our clients asking if their property had/or had not already been surveyed".

Mears goes on to say, "Since the Installation of Workspace, it has allowed even those who are not IT literate to work more efficiently".

"Document searching is much more straight-forward, eliminating manual cross checking".

"We have also dramatically cut down our paper based documents, converting them into an electronic format".

"Another useful benefit of Workspace includes being able to electronically link clients' documents with their contact details aiding those in the Admin and HR departments".

He concludes, "During our search for a comprehensive management system we did look at several other providers, but Union Square's Workspace software impressed us the most".

"Not only was there a quick implementation of the software, Union Square also took the time to recognise how the software could be altered to meet our exact needs, as well as instigating training schedules to help our staff learn more about the software.".
