Eliminating the need for paper-based files
Union Square's 'Workspace' software provides information storage security and eliminates the need for paper-based files.
With an exceptional client portfolio, including major developers Barratt's, Persimmon's and Taylor Woodrow, Grafik Architecture is also hoping to reduce the strain upon its extremely busy finance department who find it increasingly more challenging to deal with the massive volumes of paper correspondence, received from suppliers and customers.
Commenting on its current working situation, Lee Corbett, Managing Director of Grafik Architecture, explains, "We recognised that in order to continue to improve the flow of information through the business we could not remain a paper based organisation.
Storage of hard copy documents consumes large amounts of both time and office space".
Recognising the need to modernise their processes, Grafik Architecture approached Union Square, and having evaluated its Workspace system it found that Workspace was the most flexible, cost-effective product on the market.
Corbett continues, "By introducing Workspace, all our business information from project documents to customer records and guidance procedures will be available through one single web-based portal, and all project related emails will also reside within the central Workspace system rather than sitting in personal e-mail folders".
Another benefit of Workspace is that it will improve the accuracy and efficiency with which invoices, statements and other financial documents are processed.
On average we will expect to see an estimated time saving, for finance employees alone, of roughly a day a week".
Corbett concludes, "We are confident that Workspace will help us continuously improve the way in which we do business on a day-to-day basis.
The roll-out is currently on schedule and we are due to go live this month.
In addition, we have received an excellent level of service from Union Square and we have valued the knowledge and skills of their project management team.".
