Workspace is has been designed to help construction firms improve management of information and prevent valuable business correspondence and documentation from 'disappearing'.

Synergie Scotland a provider of design, management and procurement services for built infrastructure projects has placed an order in the region of GBP23,000 for Workspace, a web-based information sharing portal from the construction industry specialist software author, Union Square.

Founded in 2001, Synergie is comprised of three separate business units, Projects, Systems and Environmental.

Despite each department being distinct in its own right there is often a need to collaborate and share a great deal of information communally.

It was therefore essential for Synergie to remove the potential for 'information silos' to hinder interdepartmental communication.

Workspace is a sophisticated suite of applications that has been designed to help construction firms improve management of information and prevent valuable business correspondence and documentation from 'disappearing'.

The software provides companies with a simple method of filing, archiving and retrieving all documents through a central software portal that can be accessed by any employee or permitted external parties.

In response to a rapid increase in both workload and documentation, Ian MacGillivray, Managing Director of Synergie Scotland identified the need to invest in a specialist document management system that would help increase the companies control over key business information and project documentation.

As Ian explains, "At present within the company there are multiple points of access to the repositories which hold all our core business information".

"As industry regulations increase, and our departments continue to expand, it is essential that we retain control over the flow of information throughout the business".

"Without dedicated software this can potentially turn document retrieval into a slow and cumbersome process".

Ian continues, "We required a document management system that could be molded around our specific business workflows and procedures".

"We hope once Workspace is in place we will have a central portal for all our business and project-specific information, helping our employees to easily share information and communicate more efficiently between one another and between departments".

"Employees will also have increased visibility of all documents in the system, including email which will be stored centrally".

"All in all I anticipate that this software implementation has the potential to drastically cut the amount of manual administration dedicated to document management.".
