Eliminating the need for paper-based files
Union Square's 'Workspace' software provides information storage security and eliminates the need for paper-based files.
London-based chartered architects, Michael Sparks Associates, has placed an order for 'Workspace', a web-based information and document sharing portal from construction industry software specialist, Union Square Software.
The purchase follows Michael Sparks Associates' continued commitment to achieving the highest standards in document management, to delivering a quality service to it's clients, and to maintaining the firm's important status as a RIBA Chartered Practice.
Established in 1988, Michael Sparks Associates specialises in commercial buildings, working on a number of highly significant projects for clients such as ProLogis Developments, British Airways, PandO Ferries, Royal Mail and Shell Oil.
With such a prestigious client portfolio, Michael Sparks Associates needed a reliable, adaptive and effective knowledge management portal that would improve its storage capabilities and provide full audit trails, as well as ensuring compliance to ever more exacting quality standards demanded of modern architectural practice.
Anthony White, Senior Associate at MSA, comments, "The increasing load imposed by document storage and retrieval required by more onerous quality standards and by larger and more complex projects, made us stop and seriously consider more effective methods of knowledge management".
"We hope that the Workspace solution would permit us a speedier and more direct access to our vast digital record and save us from being immersed in a mountain of paper".
White continues, "We approached Union Square with our concerns and through their experience in our sector, they were able to provide us with Workspace, a software system specifically designed to help architectural practices like ours".
"We are now able to safely store electronic documents and retrieve them irrespective of whether they are received over email or where they are initially saved".
"This has prevented crucial business information disappearing and has reduced the amount of paper-based documentation within the office".
White concludes, "Our working relationship with Union Square has run very smoothly and they have exceeded all expectations so far".
"The prospect of having a 'green' office as well as a quality-assured one is an exciting and encouraging thought.".
