Knowledge management software portal
Baxall Construction has purchased Union Square Software's 'Workspace' document management portal.
The new software will allow Baxall to manage its documents, safely archive business-critical e-mails and also streamline business processes including tenders and internal performance ratings.
Operating since 1964, Baxall have spent the past forty-three years earning an excellent reputation for reliability and performance in commercial construction within London and the South-East of England.
Workspace allows construction firms to adhere to the industry's standards concerning the management of information and prevents valuable business correspondence and documentation from being lost or misfiled.
The software provides companies with a simple method of archiving and retrieving all documents, including emails, through a central portal that can be accessed worldwide, preventing duplication of work.
Jonathan Exall, Finance and Marketing Director for Baxall Construction, comments, "We have been looking for a Document Management System for the last two years and I had personally spent a great deal of time researching the market place struggling to find a product suitable for our business".
"We specifically needed a system that could not only deal with controlling documents and e-mails, but also with real construction-related issues".
"We especially needed a system that could help us with sub-contractor tendering and performance ratings".
"The most critical requirement however was an RFI management tool to control the validation and sign-offs to time-critical responsibilities".
"All of these aspects are crucial to the successful control and completion of a construction project".
Exall continues, "We were invited by Union Square to a presentation of Workspace and within ten minutes of the presentation, I was hugely impressed by what I was seeing and hearing".
"Every issue we had as a company could be solved by Workspace - it ticked all the right boxes".
"Soon after, I visited an on-site demonstration at a large architectural practice to see the product in action, and seeing it used in a live working environment made me realise that Workspace was right for our particular business".
Exall concludes, "Construction as an industry has very specific requirements in terms of internal processes, especially considering the sheer size and quantity of critical documents".
"Because of this, standard document management software packages were simply not sufficient".
"Workspace's greatest advantage was that it was specifically designed for the construction industry and as such caters for not only day to day emails and documents, but also sub-contractor tendering and managing drawings files through all their edits - an absolute must for anyone in construction.".
