Enterprise software portal eases design
burden
With 90% of communication now taking place via email, 'Workspace' software will provide central repository for all project correspondence.
Ian Simpson Architects, a design-led architectural practice with 100 staff, is implementing Workspace, an enterprise software portal from Union Square Software which will improve information sharing across the company's two offices in Manchester and London Critically, the software will prevent crucial business documentation and correspondence from being 'locked' in individual users' inboxes, whilst staff will be able to stay more focused on revenue-generating tasks rather than administrative processes

Ian Simpson Architects has established a national and international reputation through award-winning schemes for landmark sites and projects, and continues to invest in new technology to maximise design time on projects.
The Workspace software from Union Square will provide the practice with a centralised technology platform for all areas of its business including email archiving, drawing management, document scanning and project collaboration.
David Green, Associate Director at Ian Simpson Architects, explains, "Following the implementation all project documentation and correspondence will be stored in Workspace which means that our architects will be able to spend more time designing and will have to spend less time searching for information such as a particular email or drawing, or even having to recreate a document that already exists somewhere within the business".

Green continues, "Having the ability to store and retrieve email through a central portal was a key driver for the new software".
"90% of project correspondence now takes place via email so we needed a way of tracking this communication through a single interface that all staff have access to".
"Our architects will also benefit from being able to share knowledge, including drawings more easily and there will be less danger of work being duplicated between our Manchester and London offices".
Another benefit of using Workspace is that presentation of information can be standardised across the business.
Green says, "As we continue to expand it is essential that all of our project correspondence with clients, prospects and partners is in keeping with our corporate guidelines".
"Workspace will allow us to create a series of templates that can be used by all staff to ensure we are consistent in how we present ourselves to the outside world, whether we are sending an email, preparing a client proposal or responding to an RFI".
Green concludes, "Union Square has a strong track record in the construction software industry and an impressive client base".
"It is solely focused on the construction sector which means that it has a very detailed understanding of our business requirements, and can help us to tailor Workspace so that we gain maximum benefit from the software".
"We are looking forward to going live with Workspace early next year.".
